Automation platform

Zapier automation

Zapier moves information between the apps your team already uses. When a form is submitted, a row is added; when a deal closes, a message is sent. We build these small automations tidily, monitor them, and say when a task has outgrown the tool.

At a glance

What it is

Zapier connects web apps so that something happening in one, such as a new form entry, automatically triggers an action in another.

What it means

Connectors between everyday apps

Zapier is a no-code automation service. You choose a trigger in one app and one or more actions in other apps, and Zapier runs them whenever the trigger happens. It supports a very large number of common business apps.

It is popular because it is quick. A useful automation can be running in an hour, set up by someone who is not a developer.

That speed is also the risk. Automations multiply, nobody remembers what each does, and a change in one app silently breaks several. Good practice matters more than the tool.

Where it fits

Tasks that suit Zapier, and tasks that do not

Typical tasks and whether Zapier suits them
TaskSuits Zapier?Why
Add new form entries to a spreadsheet or customer record Yes. A simple, linear step between common apps.
Send a message when a deal changes stage Yes. A clear trigger and a single action.
Create a task for each new customer across several tools Yes, with care. Several steps, but each is simple.
Branching rules based on many conditions Sometimes. Possible, but a visual tool such as Make is often clearer.
Heavy data processing or large volumes No. Per-task pricing and limits make it costly. Use code or a self-hosted tool.
A process that must never lose an item Be careful. Needs error handling and reconciliation, which we add.

What DECHY can do

Working with Zapier

Design

  • Choosing which tasks are worth automating.
  • Naming and structure that keep automations understandable.

Build

  • Automations across your tools.
  • Error handling and alerts.

Review

  • Audits of an existing account.
  • Cost reviews and clean-up.

Move on

  • Migrating busy automations to Make, n8n, or custom code.
  • Keeping simple ones where they are.

Typical uses

Automations we are often asked for

  1. Lead capture

A website form creates a contact, notifies the owner in a chat tool, and starts a follow-up task.

  2. Customer onboarding

A closed deal triggers a welcome email, a project folder, and a checklist for the team.

  3. Reporting

Numbers from several tools collected into one sheet each morning for review.

  4. Reminders and approvals

Overdue items flagged to the right person, and approvals routed by chat or email.

Choosing the right approach

When Zapier has been outgrown

Warning signs include a rising bill, long chains nobody can follow, tasks that fail without anyone noticing, and logic that needs the same condition repeated in many places.

At that point we move the busiest or most important flows to a tool with better control, and leave the simple ones where they are.

Technical depth

How we build with Zapier

The detail a technical reviewer will ask about: structure, reliability, and extending it.

We keep each automation to one job, use consistent names with an owner and purpose in the description, and store shared settings in one place.

Common questions

Questions about Zapier

Is Zapier secure enough for business data?

It offers security controls, and the plan matters. We review what data passes through, limit it to what is needed, and avoid routing highly sensitive data through any third-party tool without a reason.

How much does it cost to run?

Pricing is based on tasks, so cost follows volume. We estimate from your expected volumes and review it regularly.

What if Zapier changes or an app breaks it?

Alerts catch failures, and clear documentation makes repairs quick. For critical flows we add checks that compare the two systems.

Can you take over automations our team built?

Yes. We audit them, document them, and fix or retire what is not working.

Tell us which tasks your team repeats

List the two or three tasks that move between tools by hand. We will say which suit Zapier, which need something stronger, and what each would cost to run.
