Operations Platforms

We build operations platforms: one place where a business plans, runs, and tracks its daily work. Jobs, schedules, stock, and people sit in one system, built up in stages, and managers see what is happening without chasing updates.

At a glance

What we build

We build one system for planning, running, and tracking your daily work, such as jobs, stock, schedules, and people.

In practice

The business's daily work, in one place

We build one system for the jobs, stock, schedules, and people a business coordinates every day, showing their current state. It replaces many separate tools and sheets with one shared picture.

In many businesses, the real state of operations lives in people's heads and in messages. A platform moves it into one record, so that a manager can see which jobs are late, which stock is low, and who is free.

It does not have to be built at once. The most useful platforms start with one flow and grow.

The layers of an operations platform

Layers from top to bottom. Overview; Daily work; Resources; Records.

  1. OverviewDashboards for managers.
  2. Daily workJobs, schedules, and tasks.
  3. ResourcesPeople, stock, equipment, and vehicles.
  4. RecordsCustomers, suppliers, and history.
This diagram shows four layers of an operations platform, from records at the base through resources and daily work to the manager's overview.

What we build

What operations platforms often cover

Jobs and schedules

  • Create, assign, and track work.
  • Calendars that show who is free.

Stock and supplies

  • Levels, locations, and reorder alerts.
  • Purchase orders and receipts.

People and equipment

  • Skills, shifts, and availability.
  • Maintenance schedules.

Reports

  • Late jobs, workload, and costs.
  • Exports for finance.

How it is staged

Building up a platform in stages

  1. Pick the flow that hurts most

We study one flow, such as scheduling or stock, and agree how it should work.

    What it produces

    • Flow map
    • Goals
  2. Build it and use it

We build a working version for that flow, and your team uses it for real.

    What it produces

    • First version
    • Feedback
  3. Connect the neighbours

We link the flow to the ones it touches, such as invoicing or purchasing.

    What it produces

    • Connections
  4. Add the overview

We add dashboards once the data underneath is trusted.

    What it produces

    • Dashboards
    • Reports

The difference

Seeing the whole picture

A platform changes what a manager can see, and when.

Seeing the whole picture

Before: Scattered. Jobs in a shared sheet; Stock counted on request; Schedules in separate calendars. After: Joined. Jobs with live status; Stock updated as it moves; One schedule for people and equipment.

Before

Scattered

Information is spread out and out of date.

  • Jobs in a shared sheet
  • Stock counted on request
  • Schedules in separate calendars

After

Joined

Information is shared and current.

  • Jobs with live status
  • Stock updated as it moves
  • One schedule for people and equipment
This diagram contrasts jobs, stock, and schedules held in separate places with the same three joined into one live picture.

A typical example

Late jobs visible before the customer calls

A typical case is a services business whose jobs are in a spreadsheet, whose schedule is in a calendar, and whose parts are counted by hand. A manager learns that a job is late only when the customer calls.

A platform could show each job's status, its assigned team, and the parts reserved for it. Late jobs would stand out the day before, not after the call.

Common questions

Questions about operations platforms

Should we buy a product or build one?

Buy when your operations are common and a product fits. Build when your process is unusual or when connecting several products costs more than one system.

Will staff use it?

They do when it makes their day easier. We design with the people who will use it and keep screens simple.

Can we start small?

Yes. We recommend it. One flow working well earns the trust needed to add the next.
